Introduction to Schedule Setup in MyRapidi

Setting up Schedules effectively is a key step in managing data transfers seamlessly. In this guide, we walk through the process of configuring schedules, defining priorities, and ensuring smooth operations.

Options for Schedule Configuration

When creating a new schedule, follow these steps:

  1. Click on Schedules and then select New.

  2. Choose from the following configuration options:

    • Tags: Assign a Schedule to a specific Tag - for example to a specific Company - or leave it without Tags for broader use.

    • Transfer: Select a specific Transfer to operate independently.

    • Group: Use Groups to combine multiple related Transfers (e.g., Customers, Items, Orders) for streamlined execution.

💡Pro Tip: Opt for Groups when dealing with related data sets to simplify management.

Defining Schedule Intervals

  1. Select the desired Group.

  2. Add a description if needed, or Rapidi will use the default naming convention.

  3. Set the interval for the Schedule:

    • Options include every 10 minutes, hourly, daily, etc.

    • Example: For daily updates, select "once per day."

Understanding Schedule Statuses

Schedules operate under one of four statuses:

  • Ok: Running smoothly without errors.

  • Processing: Currently transferring data; wait until completion to view results.

  • Error: Execution failed. Review Logs to troubleshoot.

  • Stopped: Inactive status; requires manual reactivation.

🎖️ Best Practice: Always verify the status after the first run to ensure smooth operation.

Setting Schedule Priority

Define priority levels to determine the execution order:

  • High: Immediate execution.

  • Normal: Balanced execution with standard precedence.

  • Low: Lower priority execution.

Error Handling Strategies

Error handling ensures schedules behave predictably in case of failures. Options include:

  1. Skip: Schedule waits for the next scheduled time, notifying errors via email (recommended).

  2. Retry: Continuously retries until successful, potentially blocking other schedules.

  3. Stop: Deactivates the schedule, requiring manual intervention.

💡 Pro Tip: Use "Skip" for most scenarios to avoid disruptions to other schedules.

Configuring Schedule Timing

Set precise timing preferences to match operational needs:

  1. Next Date/Time: Specify the exact date and time for the Schedule.

  2. Error and Notify Intervals: Align notification intervals with schedule frequency for timely alerts.

  3. Days and Time Ranges:

    • Select active days (e.g., Monday to Friday).

    • Define time windows (e.g., 8 AM to 5 PM) for execution of the Schedule.

Advanced Schedule Settings

In addition to the basic setup, advanced configuration options allow further customization:

  • Dependencies: If a Transfer depends on the completion of another, then they should be grouped under the same Schedule. Otherwise, they should be put separately.

  • Execution History: View Logs and History of previous runs to monitor performance and identify patterns.

  • Custom Notifications: Configure email alerts and error notifications based on severity.

Finalizing Schedule Details

  1. Confirm the schedule settings:

    • Interval: Once per day (or as required).

    • Priority: Normal.

    • Status: Ok (verify status after the first run).

  2. Save the schedule.

Monitor future runs for status updates—either Ok (green) or Error (red).

Manual Schedule Control Options

Manual overrides provide flexibility:

  • Start: Trigger the Schedule ahead of time for urgent updates.

  • Stop: Pause execution to halt further data transfers.

  • Delete: Remove the Schedule permanently if no longer needed.

  • Edit: Modify settings anytime using the edit option.

Is it possible to delay all Schedules temporarily?

Yes, you can do that by either editing the active Schedule and updating the date and time of the next run, or you can go to your Dashboard > 'Delay All Schedules' where you add the time that the schedule should be delayed for ( 1 hour, 2hrs, etc) and click on Delay All Schedules (hours).

How do I manage notification email addresses for schedule alerts?

To manage notification email addresses: Go to 'Account Settings' > 'Schedule Monitor' and add or modify email addresses to receive notifications for all or specific schedules. Notifications will be sent to all Account Administrators if no email address is specified.

How can I filter and search within the 'Schedules' page?

The specific filtering options available on the 'Schedules' page include: filtering by schedule, status, group or individual transfers, priority-based filters, etc. You can also use the search bar to search for anything related to your Schedules.
